About the Role

The Global Document Services (“GLODOCS”) Coordinator is an integral part of Latham’s Global Document Services team.  This role will be responsible for acting as the frontline contact between Latham’s Global Document Services (GLODOCS) team and department users such as attorneys, paralegals, and professional staff, as well as coordinating department workflow, intaking document work requests, clarifying instructions, negotiating deadlines, communicating job statuses, maintaining the ServiceNow job queue, assigning work to team members, and ensuring that deadlines are met. This role will be located in our Manchester office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.   

 

Please also note, the schedule for this role is Monday through Friday, 4:00PM - 12:00AM GMT. 

Responsibilities & Qualifications

Other key responsibilities include:

  • Handling all aspects of department workflow coordination, including job assessment and intake, complex project setup in ServiceNow, and distributing and clarifying work requests for analysts, specialists, proofreaders, and contractors
  • Promptly answering departmental phone calls, managing emails in the GLODOCS mailbox, responding to job queries from customers, redirecting out-of-scope requests to external support teams, and communicating job assignment details to team members using various channels on Microsoft Teams
  • Estimating job duration and difficulty, negotiating realistic deadlines, managing customer expectations, and assuring that team members return work as instructed and within communicated timeframes
  • Handling help calls and assigning them to appropriately skilled team members, and assisting with document work when needed, using core applications such as Word, Excel, PowerPoint, and Adobe Acrobat Professional
  • Promoting effective work practices, working as a team member, and showing respect for co-workers

We’d love to hear from you if you:

  • Demonstrate a thorough understanding of the intricacies of documents and work requests, including troubleshooting for solutions, and the ability to leverage this knowledge to write clear and complete job instructions and accurately estimate job durations
  • Possess the ability to evaluate multiple dynamic factors, such as available resources/skillsets and current queue commitments, to accurately ensure that demand for departmental services does not exceed capacity to deliver
  • Display superior communication and interpersonal skills, with the ability to handle competing priorities and interact effectively with people at all organizational levels of the firm

And have:

  • A high school diploma or equivalent, preferably a bachelor’s degree or equivalent
  • Relevant experience in a law firm or other professional services firm, preferably
  • Microsoft certifications in Word Expert, Excel, and PowerPoint, preferably
